This article provides an overview of the differences between assigning a user as a record owner, and an assigned/access member
Some modules within 6clicks offer the ability to assign users as both an owner or an assigned member. For example, adding users to a risk:
The reason for this separation is to support ownership of records by executive employees that may not be updating records within 6clicks.
In this scenario, executive employees who are ultimately responsible/own the record from a governance perspective are assigned as owners - they will not receive ongoing notifications related to the record. Instead, other staff will be assigned members for the record who will receive the notifications, complete updates, and work day-to-day within 6clicks.
The key differences between the types of assignments have to do with receiving notifications and accessing and updating records.
Functionality | Owner | Assigned/Access Member |
Access to records | ❌ | ✔️ |
Status notifications | ❌ | ✔️ |
Task updates | ❌ | ✔️ |
Access to records
Some modules within 6clicks (including Issues & Incidents and Risks) can be restricted so that users will only view/edit records that they are assigned. This functionality is based on the assigned/access member and not the owner of the record.
Status notifications
6clicks users receive ongoing status notifications related to the records that they are assigned to - including due date reminders, workflow changes and other record updates.
Under the above model, records owners do not receive many of these updates. These are instead directed to the assigned/access members who are responsible for day-to-day activity in 6clicks.
Owners will still receive some notifications, such as on record assignment. These can be switched off by the owner user if preferred.
Task updates
When an assigned/access member is assigned a record with a task to complete, they will be notified and be able to access and update the record in My Tasks.
