Importing a Control Set and Control Set Responsibilities

You can import your own Control Sets into the 6clicks platform. To upload your Control Sets you will need to convert them into a JSON or CSV file using our pre-defined template.

Importing Controls Set using JSON 

Here is an example of the template layout:

The above example will create a Control Set in the Control Set Builder as per below. Key things to note:

  1. Reference refers to the REF ID of each Control. You can select any Reference Framework you like, e.g. 1.1, 1.2 or A.1, A.2, etc.
  2. Order is the order in which each Control is displayed within each Control Domain. For example, controls in Domain One will be ordered 1, 2, 3, etc., and controls in Domain Two will be ordered 1, 2, 3, etc.. 

Control Responsibilities  

You can either import Control Responsibilities as part of the JSON import or create them in 6clicks. To learn how to create Control Responsibilities, click here.

Key things to note:

  1.  In the template, Responsibilities are called Statements.
  2. Responsibilities are mapped to a single Control, and the order dictates how Responsibilities are displayed in the Control Set Viewer under each control.
  3. The Period must be one of the options below, unless it is not recurring, in which case leave it blank:
    1. 2 Years
    2. 1 Year
    3. 6 Months
    4. 3 Months
    5. 1 Month
    6. 2 Weeks
    7. 1 Week
  4. The Action Status Name must be one of the following statuses:
    1. Planning
    2. In Progress
    3. Cancelled
    4. Review
    5. Closed
  5. To map the Responsibility to a Control, you will need to add the Control's name to ControlName and the Control's Domain to DomainName.

Importing Controls using CSV/Excel 

Select Controls from the left navigation panel to open the Controls screen.

Click on Create a control set at the top right of the screen. 

A new modal window will open. Populate the relevant fields for the new Control Set, then click on Create Control Set.  

Click on the More dropdown and select Import Controls (CSV)

An alert message will appear. Select Yes to continue. 

The Import Data modal will appear. Select Download Template to download the Excel file. 

The Control Set Import Template has column headings that correspond with field names. Populate the respective information in each column. 

  • Control ID - Each ID should be unique to the respective control. 
  • Control Title - A title for the Control. 
  • Control Description - A description of the function of the Control. 
  • Control Domain - The Domain this Control falls under. 

Select More > Import Controls (CSV) to import your controls, then select the Browse button. Select your file or drag and drop it into the space provided.

Once the file is ready to be uploaded, it will show the file name below the Browse button with the text 'Ready to upload'. Select Upload.

Once the Excel file has been uploaded, the control will appear in the Control Set Builder. 

Importing Responsibilities using CSV/Excel 

Select Controls from the left navigation panel to open the Controls screen.

Click on Create a control set at the top right of the screen. 

Click on the More dropdown and select Import Responsibilities.

 An Import Data modal will appear. Select Download Template to download the Excel file.

The Responsibility Import Template has column headings that correspond with field names. Populate the respective information in each column. 

  • Control ID - The Control ID should match the Control you are attaching this responsibility to. 
  • Name - A Name for the Responsibility.
  • Description - A description of the responsibility, describing the course of action. 
  • Due Date - When the responsibility is due.
  • Owner - Enter an email address associated with a User or Advisor.  
  • Recurring - Add Yes in this column if the responsibility reoccurs. Add No in this column if it does not reoccur. 
  • Time Period - The Time period options are: 1 year, 6 months, 1 month, or 1 week.
  • Assigned Members - Enter an email address associated with the User or Advisor.  

Select More > Import Responsibility to import your responsibilities, then select the Browse button. Select your file or drag and drop it into the space provided.

Once the file is ready to be uploaded, it will show the file name below the Browse button with the text "Ready to upload". Select Upload.

Once the Excel file has been uploaded, the responsibility will appear under the Control.

In the right-side panel under the Responsibilities tab, a green checkmark indicates that the responsibility has been linked.
